7. International and Cross-Border Processing

Some technology, cloud, email, website, and administrative service providers may process or store personal data outside Malaysia.

Where this happens, we rely on one or more of the following grounds recognized under Malaysian law: the transfer being necessary to perform our contract with you (for example, to process your registration or payment through an overseas-based provider), contractual or organizational safeguards agreed with our service providers, or your consent. We take reasonable steps to ensure that any such transfer receives an appropriate level of protection.

8. Security

We use reasonable administrative, physical, and technical measures to protect personal data from loss, misuse, unauthorized access, alteration, disclosure, or destruction.

However, no website, email service, online form, cloud platform, or internet transmission can be guaranteed to be completely secure. You should avoid submitting unnecessary sensitive information through unsecured channels.

In the event of a data breach that is likely to cause significant harm to affected individuals, we will notify the Personal Data Protection Commissioner and the affected individuals in accordance with applicable law.

9. Retention

We retain personal data only for as long as reasonably necessary to fulfil the purposes described in this notice, administer the event and related follow-up, resolve inquiries, disputes, or complaints, and comply with applicable retention requirements. As a general guide:

  • Registration, payment, invoice, and HRD Corp-related records: at least 7 years, consistent with record-keeping obligations under the Income Tax Act 1967 and the Companies Act 2016
  • General inquiries and correspondence not linked to a registration: up to 2 years
  • Marketing contact preferences: until you withdraw consent or unsubscribe

Some records may be retained longer where required for legal, contractual, insurance, or dispute-resolution purposes. When personal data is no longer required, we will take reasonable steps to delete, anonymize, or securely dispose of it.
